Monthly absence accrual for attendance plans
To support organizations whose payroll cycle doesn't align with calendar months, Sparkrock Impact provides the capability for a cause of absence to accrue on a calendar-month schedule, in addition to annually or per pay period.
To use this feature, you must perform the necessary setup. Learn more in Set up monthly absence accrual for attendance plans.
Accrual Type and the monthly amount
When calculating the amount for a month, Sparkrock Impact uses the value of Accrual Type that is set on the cause of absence.
Accrual Type is equal to Years of Service
When a cause of absence has Accrual Type set to Years of Service, Sparkrock Impact uses the yearly entitlement for the threshold that the employee's years of service has reached.
Accrual Type is equal to Fixed Amount
When a cause of absence has Accrual Type set to Fixed Amount, Sparkrock Impact uses the accrual units on the plan as the yearly amount.
Determining the monthly amount
Either way, Sparkrock Impact determines the monthly amount as follows:
- Divides the yearly amount by 12.
- Where the plan is prorated by FTE, scales the result by the employee's FTE.
- Compares the result against the cause of absence's Maximum Balance and reduces the monthly amount to whatever balance remains, if necessary.
Sparkrock Impact does not prorate a month for a partial month worked. An employee who joins or leaves partway through a month either earns the full month's amount or earns nothing for the month.
Example
Consider the following scenario:
A cause of absence has Accrual Type set to Fixed Amount, and the attendance plan line carries 120 accrual units for this cause of absence.
The employee has an Active FTE of 1.00, and the plan is not prorated by FTE for this cause.
For this scenario, Sparkrock Impact determines the monthly amount as follows:
- 120 Accrual Units / 12 Months = 10 Accrual Units Per Month
Each month that the employee is loaded and posted, Sparkrock Impact credits 10 units, until the cause of absence's Maximum Balance, if any, is reached.
Future-dated absence requests project a monthly balance
When an employee requests absence for a date months in the future, Sparkrock Impact projects what their balance will be on that date. For a monthly-accruing cause of absence, Sparkrock Impact adds one month's accrual for each accrual date between today and the requested date, instead of projecting a full year's entitlement.
