Trakstar ATS integration
Trakstar is an applicant tracking system (ATS) that organizations use to manage job postings and candidate hiring. The Trakstar ATS integration connects Trakstar with the HR request workflow in Sparkrock Impact, so that HR administrators can publish job openings to Trakstar and automatically create hire HR requests from hired candidates.
Publish job openings to Trakstar
When the Trakstar integration is turned on, a Publish to Trakstar action is available on the HR Requests and HR Request pages. You can use this action to publish one or more HR requests to Trakstar as job openings.
Only HR requests with an HR Reason Code of 10-JOB REQUISITION are eligible to publish, and each HR request can only be published once to prevent duplicate openings.
After an HR request is published, the following fields are populated on the HR Request page:
- General FastTab
- Trakstar Published: Specifies whether the HR request has been published to Trakstar.
- Trakstar Hosted URL: Specifies the URL of the job opening as hosted on Trakstar.
- Trakstar FastTab Opening (Outbound) section
- Trakstar Opening ID: Specifies the unique identifier that Trakstar assigns to the opening.
- Trakstar Resource URI: Specifies the API resource URI that is returned by Trakstar when the opening is created.
- Trakstar Publish DateTime: Specifies the date and time that the HR request was published to Trakstar.
Sync hired candidates from Trakstar
When the Trakstar integration is turned on, a Sync Hires action is available on the HR Requests page. You can use this action to retrieve hired candidates from Trakstar and create HR requests in Sparkrock Impact.
For each hired candidate that is retrieved from Trakstar, Sparkrock Impact creates an HR request with a Status of Open, and populates the candidate's name, Effective Date, and the following fields in the Candidate (Inbound) section of the Trakstar FastTab with the candidate's information from Trakstar:
- Trakstar Candidate ID: Specifies the unique identifier that Trakstar assigns to the candidate.
- Trakstar Opening ID Ref: Specifies the unique identifier of the Trakstar opening that the candidate applied for.
- Trakstar Candidate Email: Specifies the email address of the candidate as specified in Trakstar.
- Trakstar Candidate Phone: Specifies the phone number of the candidate as specified in Trakstar.
- Trakstar Sync DateTime: Specifies the date and time that the candidate was synced from Trakstar.
The Effective Date is populated based on the Trakstar effective date.
Whether Sparkrock Impact creates a hire HR request or a transfer HR request depends on the candidate's Trakstar stage. To learn how to configure which stage identifies an internal transfer, go to Set up a Trakstar ATS integration.
New hires
For a candidate whose stage does not match the Internal Transfer Stage Name, Sparkrock Impact creates an HR request with an HR Reason Code of 15-NEW HIRE, and automatically populates the following fields:
- HR Position Code: Resolved by tracing back to the originating job requisition.
- Private Email: Populated from the candidate's email address in Trakstar Hire.
- Phone No.: Populated from the candidate's phone number in Trakstar Hire.
Internal transfers
For a candidate whose stage matches the Internal Transfer Stage Name, Sparkrock Impact creates an HR request with an HR Reason Code of 25-TRANSFER for the existing employee, instead of a new hire HR request.
To identify the employee, Sparkrock Impact checks the candidate's email in Trakstar against the employee's E-Mail and Company E-Mail fields, and falls back to matching on name when no email matches. When Sparkrock Impact cannot match a candidate with confidence, Sparkrock Impact does not create an HR request for that candidate. Instead, Sparkrock Impact counts the candidate separately in the Sync Hires summary message so that you can follow up manually.
Sparkrock Impact populates a transfer HR request based on the matched employee's current assignment, including the position that the employee transferred onto, resolved from the job requisition that the candidate applied to.
After the HR request is created, you can process the request using your existing workflow.
Trakstar FastTab
When the Trakstar integration is turned on, a Trakstar FastTab is available on the HR Request page. The FastTab includes the following sections:
- Opening (Outbound): Displays Trakstar opening information for HR requests that have been published to Trakstar.
- Candidate (Inbound): Displays Trakstar candidate information for hire and transfer HR requests that have been created by the Sync Hires action.
