Bank account reconciliation Date Cleared
Sparkrock Impact includes a Date Cleared field on the following pages:
- Bank Acc. Reconciliation
- Bank Account Ledger Entries
- Check Ledger Entries
Use the Date Cleared field to track the date on which a bank account ledger entry or check ledger entry cleared.
On the Bank Acc. Reconciliation page, you can manually edit the Date Cleared field. Sparkrock Impact also updates this field automatically when you post a bank reconciliation.
What happens when you post a bank reconciliation
When you choose Post on the Bank Acc. Reconciliation page, Sparkrock Impact:
- Validates the reconciliation.
- Updates the Date Cleared field on related ledger entries.
Validation
Sparkrock Impact verifies that:
- The Applied checkbox is selected for applicable bank account ledger entries.
- A value is entered in Statement Date.
- The Statement Ending Balance equals the Total Balance.
How Sparkrock Impact determines Date Cleared
When posting updates the Date Cleared field, Sparkrock Impact uses the following logic:
- If both Date Cleared on Check Ledger Entry and Transaction Date are populated, Sparkrock Impact uses the later date.
- If only one of these fields is populated, Sparkrock Impact uses that date.
- If both fields are blank, Sparkrock Impact uses the Statement Date from the reconciliation.
Record matching rules
Sparkrock Impact updates ledger entries only when records match:
- For Bank Account Ledger Entries, the Document No. must match the Document No. on the reconciliation.
- For Check Ledger Entries, the Document No. on the reconciliation must match the Check No. on the check ledger entry.
Date Cleared on check ledger entry
On the Bank Acc. Reconciliation page, the Date Cleared on Check Ledger Entry field shows the date on which a check cleared in the check ledger.
When you choose Suggest Lines, Sparkrock Impact automatically populates this field using the Date Cleared value from the related Check Ledger Entries record.
You can use this field to:
- Filter reconciliation records by cleared date.
- Identify records that have not yet cleared.
Date Cleared field and Entry Cleared checkbox updates
The following sections describe how Sparkrock Impact updates the Date Cleared field and the Entry Cleared checkbox during payment processing and check voiding.
When you post a payment journal line
If a payment journal line is posted for a document where Bank Payment Type is set to Electronic Payment, Sparkrock Impact:
- Sets the Date Cleared field on the related Check Ledger Entries record to the Posting Date.
- Selects the Entry Cleared checkbox on that record.
When you void a check
If you void a check on the Check Ledger Entries page, Sparkrock Impact:
- Sets the Date Cleared field to the Void Date.
- Clears the Entry Cleared checkbox.
