Process annual accruals
Once a year you must run the annual accruals process.
To run the annual accruals process
Select Search (Alt+Q)
, enter annual accrual worksheet, and then select the related link. The Annual Accrual Worksheet page opens.
On the action bar, select Load Accruals.
The Load Annual Accruals page opens.
In Accrual Year Start, specify the first year of accruals that you want to load.
In Years of Service Calc. Date, specify the date to use for calculating years of service.
Accrual Year Start and Years of Service Calc. Date may be the same or different. For example, your organization may run the accruals process in September every year and calculate years of service for employees as of the end of the prior school year, for example, June 30th. If that is the case, the Accrual Year Start is September, and the Years of Service Calc. Date is June 30th.
To exclude employees who are fully on leave, turn on Exclude Employees Fully on Leave.
In Load Description, specify an optional description.
For example, specify Annual Accruals or something similar as the description. The description appears on the Absence Registration page and is visible to employees in mySparkrock.
To prorate accruals for assignments that end during the accrual year, turn on Prorate Ending Assignments.
If required, to filter the results, specify filters for the fields on the Employee and Employee Attendance Plan Line FastTabs.
Select OK.
The Annual Accrual Worksheet page loads.
The worksheet displays Calculated New Year Accrual and Actual New Year Accrual columns. Calculated New Year Accrual displays the full amount from the cause of absence's setup, and Actual New Year Accrual displays what Sparkrock Impact actually posts. When an employee is close to the limit that applies, whether that's the cause of absence's Maximum Balance, a plan or employee Maximum Balance Override, or the plan's Maximum Plan Balance, Sparkrock Impact reduces Actual New Year Accrual to whatever balance remains. Actual New Year Accrual is read-only.
Validate the worksheet.
To change an amount, correct the cause of absence, attendance plan, or employee setup, delete the line, and then load the year again.
To post the accruals, on the action bar, select Post Accruals.
A dialog box appears and displays the following text:
This process will transfer the accruals to Absence Registration. Do you want to continue?
To continue, select Yes.
Sparkrock Impact re-applies the limit that applies to each row as it posts, and then displays a message stating how many rows posted, how many of those were reduced to stay within a limit, and how many rows at zero were skipped.
