Trakstar Perform integration
Trakstar Perform is a performance management application that organizations use to manage employee reviews. The Trakstar Perform integration connects Trakstar Perform with Sparkrock Impact so that you can create an employee's Trakstar Perform account directly from Sparkrock Impact, and changes to an employee's job title, reporting line, and termination status are automatically synchronized to Trakstar Perform in the background.
Create a Trakstar Perform account
When the integration is enabled, a Create in Trakstar Perform action is available under the Actions menu on the Employee Card and Employees pages.
On the Employee Card page, the action is available when the employee is active, has a first name, last name, and company email on file, and does not already have a Trakstar Perform ID.
On the Employees page, you can select one or more employees, and then select the action to queue creation for all employees at once. After you select the action, Sparkrock Impact performs validations. If any selected employee does not pass validation, Sparkrock Impact does not proceed with account creation, and displays a list of every employee that could not be created and the reason for each, so you can deselect the failing employees, and then try again with the rest.
The Create in Trakstar Perform action is only visible when the Trakstar Perform integration is turned on.
Sparkrock Impact creates the Trakstar Perform account using the employee's first name, last name, employee number, and company email address. The employee's manager is assigned automatically, and an annual review is assigned using the employee's job title to select the Review Template in Trakstar Perform. The job title must match a Review Template name in Trakstar Perform exactly. If no matching template exists, the account creation does not go through.
If a Trakstar Perform account already exists for the employee's company email address, Sparkrock Impact updates that account instead of creating a second one.
After a successful creation, the Trakstar Perform ID, Trakstar Sync Status, and Trakstar Username fields on the Employee Card page are updated.
Automatic synchronization
When the integration is enabled, the following changes in Sparkrock Impact automatically start a background sync to Trakstar Perform:
- Job title change: When an employee's job title changes as a result of an HR request such as a transfer, assignment change, or details change, the corresponding Trakstar Perform Review Template is updated. If the employee has an active review under the prior Review Template, Trakstar Perform cancels the review. A new review under the updated template is not assigned automatically. That step is completed in Trakstar Perform. When an HR request has a future effective date, the sync occurs on the effective date, not on the date the request was approved.
- Manager change: When an employee's reporting line changes for an HR employee assignment, the employee's manager is updated in Trakstar Perform.
- Manager position holder change: When the person holding a manager-level HR position changes, every direct report of that position has their Trakstar Perform manager updated to the new position holder automatically.
- Termination: When an employee's status changes to terminated, the employee's Trakstar Perform account is deactivated automatically.
- Rehire: When a Rehire HR Request is processed for an employee who previously had a Trakstar Perform account, the account is reactivated automatically on the date the rehire takes effect. The account is reactivated as it was before termination. The manager and review template are not re-synced as part of reactivation. If either has changed while the employee was away, update the account manually in Trakstar Perform after the rehire takes effect.
Sync attempts that fail are retried automatically. Both successful and failed sync outcomes are recorded on the Job Queue Log Entries page.
Manual synchronization
When the integration is enabled, an Update on Trakstar Perform action is available under the Actions menu on the Employees and Employee Card pages. Selecting this action starts an on-demand sync for the selected employee or employees. To sync multiple employees at once, select one or more employees on the Employees page before selecting the action. A confirmation message tells you how many syncs were queued. Employees who already have a pending sync are skipped so that duplicate syncs are not created.
Employee sync status
To track employee sync status, the Trakstar Perform ID and Trakstar Sync Status fields are available on the Employees and Employee Card pages.
Trakstar Perform ID
The Trakstar Perform ID field displays the identifier of the matched Trakstar Perform account. Accounts are matched by company email address.
Trakstar Sync Status
The Trakstar Sync Status field displays one of the following values:
- Matched: The employee has been matched to a Trakstar Perform account.
- Not Matched: The sync ran but no matching Trakstar Perform account was found. A missing or incorrect company email address is usually the cause.
- Creation Failed: A creation attempt was made but was rejected by Trakstar Perform. This is different from Not Matched, which means Sparkrock Impact looked for an existing account and found none. After resolving the underlying cause, select Create in Trakstar Perform to retry. Do not use Update on Trakstar Perform to recover from a creation failure.
- Blank: If the field is blank, the sync has never run for this employee.
You can filter and sort the Employees page on the Trakstar Sync Status field to identify employees that need attention. After correcting the underlying data, select Update on Trakstar Perform to re-sync the employee.
To view a Trakstar Perform creation failure error message
Select Search (Alt+Q)
, enter job queue entries, and then select the related link.The Job Queue Entries page opens.
Find the SRW Trakstar Perform Sync entry for the employee for which you want to view the error message.
On the action bar, select Log Entries.
The Job Queue Log Entries page opens.
Select the entry for which you want to view the error message.
The Error Message field displays the reason the creation was rejected.
SRW Trakstar Perform Sync job queue entry
The SRW Trakstar Perform Sync job queue entry (Object ID to Run = 23069059) processes background sync requests to Trakstar Perform. The job queue entry runs automatically when a sync is queued and retries failed attempts up to five times before recording an error on the Job Queue Log Entries page.
